Question 1:
How and when should I apply for graduation?

Answer
You are advised to submit an online application for graduation via AIMS during the specified period for your intended graduation semester/term.  Before submitting the application for graduation, please review your academic record using the advising tool (i.e. DegreeWorks) to ensure that you will fulfill all the requirements of your planned curriculum at the end of your intended graduation semester/term.  Please note that students who do not successfully complete all their academic requirements by the end of the intended graduation semester/term must reapply for graduation.
 

 
Question 2:
I am an Associate Degree final year student. Do I need to apply for graduation?
     

Answer

Application for graduation is the arrangement for Bachelor’s degrees students.  Since you are an associate degree student, there is no need for you to apply for graduation. 
 


Question 3:
I forgot to apply for graduation during this semester's application period but I want to graduate in this semester, can I submit a late application?

Answer
Sorry, no late application will be accepted.  Omission in submitting the application will cause delay in graduation.  You have to apply in the coming semester/summer term.
 


Question 4:
I have missed this semester's deadline of submitting an application for graduation.  As I do not intend to register for any course in the coming semester, how can I maintain an active status in order to apply for graduation in the coming semester?

Answer
To maintain an active status in order to apply for graduation without taking any courses, students should apply for a leave of absence to take effect in that semester.  You are advised to observe the deadlines to avoid being charged excess tuition fees.  For details, please visit: Leave of Absence.
 


Question 5:
I have declared two majors; do I need to submit two applications for graduation?

Answer
You can apply in a single application and will be awarded at the same time provided that all requirements of the two majors are completed.
 


Question 6:
I have submitted an application but cannot graduate in this semester/term. Do I need to notify any academic unit or ARRO?

Answer
You do not have to notify any particular party, but you are advised to contact your academic advisor to seek for advice/assistance on your studies.
 


Question 7:
Last semester I went for exchange and applied for graduation as well. However, the hosting institution couldn’t send the official transcript to CityU in time. I have to defer my graduation to current semester. What should I do?

Answer
If you are not sure whether you can fulfill all graduation requirements after receiving the transcript, you should consult your academic advisor to determine what courses you should take in the semester.

If you are confident that all graduation requirements will be met after receiving the transcript, you should take the following steps:
  • Apply for leave of absence in the current semester;
  • Apply for graduation in the current semester 

and your continuation fee may be waived if all of the following conditions are met:

  • Graduation requirements are fulfilled;
  • No course registration in the current semester;
  • Applied for graduation during the application period;
  • Applied for leave of absence before the end of Week 2 in the current semester;

and

  • Have submitted a written request to ARRO with the endorsement from the Head of home academic unit. 
     


Question 8:
I have submitted an application for graduation but cannot fulfill the requirements of my second major. What shall I do?

Answer
You may continue to study in order to meet the requirements of your second major and defer graduation to a future semester/term; but must submit another application via AIMS in the appropriate semester/term of graduation.  Alternatively, you may apply to change your academic curriculum by dropping the second major/change the second major to a minor (if appropriate) by using this application form and submit it before the deadline.  Upon approval of the curriculum change, you may graduate in the designated semester/term.
 


Question 9:
I have submitted an application for graduation in this semester/term.  However, after the announcement of assessment results, I have only fulfilled the degree requirements but not the requirement for the minor that I have enrolled in.  Can I drop the minor and graduate in this semester/term?

Answer
If you have fulfilled all your degree and home major requirements; and want to drop your minor in order to graduate in this semester/term, you have to submit an application for changing major/minor as well as applying for graduation as soon as possible but not later than the specified deadline. Please download the application form and submit the completed form to ARRO before the deadline as indicated on it. No late application will be accepted due to time constraints.
 

 
Question 10:
I applied for graduation and fulfilled all graduation requirements in this semester.  However, I discovered that there is one course I am interested to attend in the following semester and it will also provide me a chance to improve the CGPA.  Can I withdraw my application?

Answer
No.  You should have reviewed your academic progress before applying for graduation.  Once you have submitted an application, the only consideration is whether you have completed all requirements by the end of that semester.  Your application will be dropped only in case that your curriculum requirement cannot be met.
